Dutch 4 Beginners PRIVACY POLICY


Dutch 4 Beginners regards your privacy as important and we do all we can to protect your personal information and to comply with the UK Data Protection Act 2018 and the EU Regulation 2016/679 General Data Protection Regulation ("GDPR"). This Privacy Policy describes the information Dutch 4 Beginners may collect from you and how we use your information when you employ our Dutch language services, when you communicate with us and when you visit our website.

The UK Data Protection Act 2018 and EU 2016-679 General Data Protection Regulation regulate the processing of information relating to you and grants you various rights in relation to your personal data. One of these rights is that we tell you what information we keep and how we will use this personal data. Dutch 4 Beginners collects and processes the personal data as set out in this Policy. We collect the following information on you:

·        Financial information
·        Your lesson material (incl. completed lesson material)
·         Recordings of virtual Dutch classrooms
·        Information provided via email
·        Information provided via website contact forms
·        Information provided via Dutch language tests on our website
·        Information collected via website analysis software

Dutch 4 Beginners only uses this information for administrative and business purposes (to contact you, to provide a tailored language service to you, to advertise our services and to analyse how people use our website)

We do not disclose or sell your personal information to third parties unless we are required to do so by British Law or unless we have your explicit permission.

We do not keep your information any longer than necessary while taking into account any legal obligations we have such as maintaining records for tax purposes. Each section about each type of information we keep on you specifies how long we keep your information. When personal data is no longer required, all reasonable steps will be taken to erase or otherwise dispose of it without delay.

REGISTRATION DOCUMENTS

When you employ Dutch 4 Beginners to provide Dutch language services, we ask you to fill in and return a registration document with basic contact details and your Dutch language experience, self-assessed language levels and study goals. We keep this information so that we can contact you and provide you with a tailored lesson plan.

The contact details from this registration document may be stored on our phone or email server to be able to communicate with you.

You will receive a dedicated folder on a secured Google Drive server on which we will store your lesson material and registration form. The Google Drive folder is linked to your email account and can only be accessed from your email or by entering a password. 

If you provide us with a printed copy, then we will scan this copy and upload it to your Google Drive folder. We will afterwards safely destroy this printed document.

The registration document will be kept on your Google Drive folder for as long as you study Dutch with Dutch 4 Beginners. We will keep your registration document for a further six years following the end of the financial year in which you ceased the Dutch language services provided Dutch 4 Beginners, in accordance with our legal obligation to keep records for tax purposes.

FINANCIAL INFORMATION

Dutch 4 Beginners does not keep any of your personal financial information such as banking details. For tax purposes, we do register payments received from you. This information includes the amount you paid to us and on what date the payment was received.

In addition to any received payments for pre-booked lessons, we also record when the pre-booked lessons were held and a summary with what was done during that lesson.

We will keep this information as part of our financial administration for a further six years following the end of the financial year, in accordance with our legal obligation to keep records for tax purposes.

YOUR LESSON MATERIAL

When you employ Dutch 4 Beginners for Dutch language services, we will provide you with a dedicated folder on our secured Google Drive server. In this folder, we will store your lesson material and any completed homework.  The Google Drive folder is linked to your email account and can only be accessed from your email or by entering a password. 

Any completed homework submitted to Dutch 4 Beginners by email will either be saved to your allocated Google Drive folder and deleted from our email server, or straight away deleted once discussed in the following lesson.

We will keep this information as long as you study Dutch with Dutch 4 Beginners. You may request for older Dutch lesson material to be deleted. To do so please send an email to info@dutch4beginners.com. If you indicate you want to stop learning Dutch with Dutch 4 Beginners, we will leave the documents on the Google Drive folder for a maximum of 6 months afterwards.

If you request a pause from learning Dutch, we will leave the documents on the Google Drive folder, for when you continue studying Dutch. If you do not restart learning Dutch, then we will keep the documents a maximum of 6 months after your last lesson

RECORDINGS OF VIRTUAL DUTCH CLASSROOMS

As a lesson resource, Dutch 4 Beginners may record the virtual Dutch classroom sessions, so that you as student can re-watch the lesson and go over the lesson again. We also do this so that students (from your group) that could not attend can re-watch and catch up on the missed lesson. At the beginning of the lesson, the tutor will indicate that the recording is on.

The virtual Dutch classroom is recorded via Google Meet. The video recording is downloaded and uploaded to our YouTube channel. The video’s are unlisted, so only people with a link can find the video. We will only share the video link with students in the same virtual classroom group or people associated with Dutch 4 Beginners. The videos are stored on our YouTube channel account, which is password protected

Recordings will only be kept for as long as the virtual Dutch classroom group is running and a further 6 months after maximum.

INFORMATION PROVIDED VIA EMAIL

When you contact us via email, we collect your name, your email address and any other information you provide to us in the email. Where possible we delete emails that no longer have any business purpose.

We will keep your communication for a maximum of 24 months after you send us the email or for a maximum of 24 months after you have ceased using our Dutch language services. 

INFORMATION PROVIDED VIA WEBSITE FORMS

We do not collect any personal information about you except when you specifically and knowingly provide such information via one of the contact forms on our website. When you contact us using any of the contact and booking forms via our website, we collect your name, your contact details and any other information you provide to us when you completed the contact form. Information provided via any forms on this website will be saved on our password secured email service.

When you provide any information via one of our forms, we will only use this information for internal use only and we will not pass on your information to any third party. We will only use your information to help us with processing your enquiries. We may use your information to contact you, to provide you with additional information about Dutch 4 Beginners or one of our services.

The information from our booking form will be kept on file when you decide to commence studying with Dutch 4 Beginners. Should you decide to not commence using our Dutch language services, then your information will only be kept for a maximum period of 24 months.

INFORMATION PROVIDED VIA DUTCH LANGUAGE TESTS

We use Google Forms to facilitate the Dutch language tests on our website. When you participate and complete your Dutch language test, any answers and information about yourself will be stored on Google Forms or a Google Sheets datasheet. The data provided is stored on a password-protected account.

We will only use this data to contact you when you have indicated that you wish to find out more about our other Dutch language tests, Dutch cultural articles and our services or when you indicate that you wish to discuss your test results.

Even if you have indicated that you do not wish to be contacted, all information provided during the Dutch language tests will be kept on file and this information will only be used for analytical purposes. Any such information will be kept on file for a maximum period of 12 months, after which any identifiable contact details will be deleted. We will only use this information to communicate with you and we will not pass on this information to any third party.

INFORMATION COLLECTED VIA WEBSITE ANALYSIS SOFTWARE

We use analysing software such as Google Analytics, to help us to improve our website by tracking your user preferences, to enhance your customer experience.

This analysing software can tell us, "This visitor has visited this website a week ago", but it will not tell us, "This person is John Black". Google Analytics does tell us how you found this website, what pages you visited, what country you are from, and what internet browser you are using.

We will only use this information to help us with improving our website. We will not pass on this information to any third party.

YOUR RIGHTS

We have outlined what information we collect, why we keep it and for how long. You have the following rights

·        to find out more about the personal data which we hold about you.
·        to rectify any of their personal data that is inaccurate or incomplete.
·        to request that we erase the personal data that we hold on you. Some financial data may not be erased due to legal obligations to keep records for tax purposes.

You may make any request via email. Responses to requests shall normally be completed within one month of receipt. The period can be extended by up to two months in the case of complex requests.

 

CHANGES TO OUR PRIVACY POLICY

This Privacy Policy has been written by Dutch 4 Beginners and has been last updated on the 1st of October.. A copy of the Privacy Policy can be requested via our contact page or can be read on www.dutch4beginners.com/privacy-policy .

Dutch 4 Beginners reserves the right to amend this Privacy Policy at any time and without prior notice. When we make major changes to our Privacy Policy or intend to use your information for a different purpose than the purpose for which we originally collected it, we will notify you by email. We will provide you with information about the change in question and the purpose and any other relevant information before we use your information for that new purpose.
